Job Title: Administrative Assistant

Department: Trustees

Reports to: Trustees

Schedule: Full-Time 40 hours a week, Monday – Friday 7:30 am – 4:00 pm and for board meetings, special events. 

Salary: The starting salary compensation for this position shall be $ 1680.800 every two weeks plus benefits.

Nature of Work

Administrative Assistant to the Trustees of Harlem Township will be a 40-hour-a-week position with needed availability for possible evening meetings. The position requires any combination of training and work experience that indicates an ability to successfully perform the essential job responsibilities listed below.

Essential Functions of Work (may not include all duties to be performed)

  1. Direct and coordinate requests from township residents with Harlem Township Trustees.
  2. Provide information to be posted on the outdoor sign.
  3. Provide outside social media with information to be posted.
  4. Work with township trustees regarding township facility use.
  5. Complete township correspondence, permits, and resolutions as required.
  6. Fill out additional township paperwork and forms as directed by the trustee board.
  7. Maintain township website.
  8. Serve as a liaison with other governmental entities as requested by trustees.
  9. Coordinate with outside vendors at the direction of the trustees.
  10. Maintain proper supply levels for township facilities including Parks use.
  11. Maintain cemetery documentation.
  12. Assist with Records Retention Program.
  13. Prepare Zoning hearing packets for Trustee meetings.
  14. Maintain set office hours weekly, as directed by trustees.
  15. Direct correspondence, mail, emails, and facsimiles to proper personnel.
  16. Ensure that office equipment is working properly, copiers, phones, laser printers.
  17. Order necessary supplies, complete operator maintenance and call vendor as necessary.
  18. Prepare a monthly trustee update report.
  19. Attend meetings as required by trustees; internal and external.
  20. Record meeting minutes as requested by trustees.
  21. Other items as assigned by the Trustees.
  22. Good communications and writing skills.
  23. Ability to follow instructions and efficiently complete multi assigned tasks.
  24. General computer skills and programs such as Microsoft programs, Facebook, YouTube and Website experience.
  25. Rules, Regulations and Conditions. The Employee shall observe such rules, regulations and conditions as may from time to time be adopted by the Board.


Minimum Requirements

  • Completion of High School education.
  • State of Ohio Operators License in good standing.
  • Ability with the use of a computer and programs such as Microsoft programs, Facebook, YouTube and Website experience.
  • Ability to pass background check
  • Ability to maintain sound judgement under stressful circumstances.
  • Ability to develop and maintain positive working relationships with subordinates, township officials, outside agency representatives, and residents of Harlem Township.
  • Ability to recognize problems and take necessary actions to resolve them under guidance of Trustees.
  • Effective written and oral communication skills.
  • Ability to prepare accurate and concise reports.
  • Ability to collect, analyze, and interpret data.
  • Public relations
  • 3 years’ pervious administrative related work experience preferred.
